How it works

A job has nine stages. Nobody can skip one.

These are the real stages a job moves through in Motiv, with the labels your team will see on screen. Each stage belongs to somebody, and no one can do another person's step.

    The fault is logged with photos. Urgency and deadlines are set from the trading impact.

When it doesn't go straight through

Six branch states handle the messy reality. Each one is a real status in the app, not a note someone types.

Info Requested

Job sent back to the store for missing detail. Returns marked “Info added”.

Quote Revision

A contractor is asked for a fresh price.

Evidence Requested

Sign-off sent back with a reason for more proof.

Snag Raised

Work rejected. The contractor proposes a fix date, the client approves it, then the fix runs.

Variation Review

Extra work priced after completion documents were approved. The client approves or declines.

Cancelled

Available with a reason at any point before a contractor has been awarded.

Getting started

From first conversation to first closed job.

Business accounts are set up by us, because stores, regions and approval hierarchies have to be right before anyone logs anything. Contractors and homeowners are self-service.

    Tell us how you operate

    For a business account we set up your company, regions, stores and staff logins. Send us your sites, roughly how many jobs a month you handle and who approves the money. Contractors and homeowners skip this — you register yourself.

    Your people get their logins

    Head office, regional manager and store manager accounts are created and invited by email. Each person sets their own password from the invite, then lands on the screen for their role.

  3. 3

    Log the first job

    A store manager reports a fault from their phone — issue, description, trading impact, two photos. That is the whole job of a store manager on Motiv.

  4. 4

    Run it to close-out

    The regional manager sends it out for quotes, approves one, checks the completion certificate and photos, and closes it off with a rating. From there the health scores have something to measure.

Motiv sits between the people who need maintenance work done — homeowners, retail managers, property teams and businesses — and the contractors, service providers, maintenance suppliers and specialists who carry it out.

Worked example

A fridge goes down at 16:40.

The deli manager opens WhatsApp and holds the mic. Motiv writes the ticket up, they check it, attach two photos and send.

Because they said the counter cannot trade, it grades Critical and the clock starts. Their area manager sees it in seconds and sends it to three refrigeration contractors.

Two quote, one does not respond. The area manager compares them side by side and approves the R14 250 with the earlier start date. The other quote closes automatically.

The contractor does the work, uploads the Certificate of Compliance and three photos. The area manager sends it back once — the photos do not show the isolator — then approves the second submission and closes it out with four stars.

Three weeks later, all of that is still on the record.
