What does Motiv actually do?

Motiv logs a maintenance fault, sends it to contractors to quote, lets your manager approve one, tracks the work, and makes the contractor prove it's finished before the job can close. Every step is stamped with who did it and when.

Who logs a job?

Accepted Answer

Store and branch managers log jobs at their own site. Regional managers can log on behalf of any store they cover. Homeowners log their own. It's a short wizard — pick the issue, describe it, choose how badly it's affecting trading, add at least two photos, review and send.

Can a job really be logged from a WhatsApp voice note?

Accepted Answer

Yes, for registered store managers linked to a store. They send a voice note in their own words and Motiv writes it up as a ticket and sends it back for them to check. A voice note on its own doesn't create a job — they have to confirm the draft and attach at least two photos first.

Question 4

How does Motiv decide what's urgent?

Accepted Answer

From what you tell it about the operational impact. A safety risk or a store that can't trade goes to the top; a cosmetic fault goes to the bottom. That grade sets the deadlines for responding, arriving on site, quoting and finishing. Motiv can tailor those targets to your business, or leave them on the standard windows.

Can we use our own contractors?

Yes. Business accounts invite their own contractors and there's no limit on how many you put on a single job. You can also apply for access to Motiv's own checked contractor pool — a Motiv administrator approves that for your company, and once it's on, that pool appears alongside your own list.

Are contractors vetted?

Accepted Answer

Contractors who sign themselves up or are invited into the Motiv pool are reviewed by our team — trades, VAT number, signed agreement and any uploaded documents — before work reaches them, and they're told the outcome in the app. A contractor your own company invites onto its own books skips that review, because you're vouching for them. For a private home job, only contractors we've verified can be invited, and that's enforced on our servers.

Can our store managers see what we're paying?

No. Prices, quote amounts and contractor bidding are never fetched for a store manager's screen. They see what they logged, its plain-English status, who's coming and when, and the photos.

What stops a contractor seeing a competitor's price?

Accepted Answer

Each contractor's quotes, invitations, sign-offs and site visits are loaded scoped to their own business. Competing contractors never see each other's quotes.

What happens if a job is logged badly?

Accepted Answer

Your manager sends it back with a reason. The store adds the missing detail — a typed note is required, photos and documents optional — and it returns marked “Info added” with the new text highlighted until your manager acts on it.

What if a contractor can't take the job?

Accepted Answer

They decline it with a reason chosen from a short list, plus an optional note. The job carries on with the other contractors invited. If they all decline, it goes back to New and your manager is notified to invite someone else.

What has to happen before a job can close?

Accepted Answer

The contractor has to upload a Certificate of Compliance and at least two completion photos — the form won't submit without them. Your manager then approves, asks for more evidence with a reason, or raises a snag. The job still can't close until the contractor confirms there's no further extra work, and the final close-out requires a one-to-five star rating of the contractor.

What if the work isn't right?

Raise a snag with the correction required. The contractor accepts it and proposes a date to fix it; you approve or decline that date with a reason. Work on the fix can only start once you've approved the date, and every proposal, approval and decline is logged.

What does head office see?

Accepted Answer

Every region, store and contractor ranked worst-first, health scores with the reason behind each one, how much money is sitting in unapproved quotes, and a ranked list of what needs attention — filterable and exportable to CSV. Executives deliberately can't approve quotes or do the work; that stays with the regional managers.

Does Motiv work on a phone?

Yes. It's built mobile-first and installs to a phone or desktop home screen from the browser, with its own icon. There's also an Android app. If you lose signal mid-navigation you get a clear offline screen rather than a browser error. Motiv doesn't queue work offline — you need a connection to submit.

How is payment handled?

Accepted Answer

Motiv doesn't process payments. Business accounts settle the contractor's invoice the way they already do, outside the platform. Homeowners agree payment directly with the contractor they picked.

How do we get accounts?
