Log a maintenance job

Report a fault so that it reaches the right people with enough detail to be quoted.

For store managers and homeowners

Before you start

  • At least two photographs of the problem

It is a five-step wizard. A store manager gets Issue, Details, Urgency, Photos, Review. A homeowner gets Issue, Details, Photos, Suppliers, Review — no urgency step, but an extra step for choosing contractors.

You can go back, not forward

Completed steps in the progress bar can be pressed to return to them. You cannot skip ahead.
  1. 1

    Open the form

Press “Start Quick Log” in the banner on your home screen. A store manager can also press “Log a Ticket” on the Tickets tab; a homeowner can press “Log a Job” on the Jobs tab.

If you started this form earlier in the same browser tab, a blue banner reads “We kept what you typed.” Photos are the exception — those always have to be added again.

  2. 2

    Choose a category

“What is the issue?” — pick the tile that fits best. A store manager sees Electrical, Plumbing, HVAC, Refrigeration, Gas, Structural, Shopfront, Cleaning, General, Multiple, Other. A homeowner gets a longer household list including Geyser, Appliances, Roofing, Waterproofing, Pool and Pest Control.

Homeowners: this decides who can quote

Your category decides which contractors are offered to you later, so it is worth getting right. Pressing Next without choosing shows “Select a category to continue.”
  3. 3

    Write the title and description

    Title
Short line, 60 characters maximum, with a live counter. Example: “e.g. Leaking geyser in main bathroom”
    Description
What is wrong, where it is, and since when

Homeowners: your words set the urgency

Nobody asks you how urgent it is — the app reads it from what you wrote. Use the plain words you would normally use: “smells of gas”, “the stove won't light”, “no hot water”. Those are exactly what it looks for.
  4. 4

Say how badly it affects trading (store managers)

“How urgent is it?” — pick one: No operational impact, Cosmetic / minor, Customer-visible, Staff inconvenience, Trading affected, Safety risk, Store cannot trade.

This sets the priority band and the deadlines that follow from it. “Safety risk” and “Store cannot trade” become the top band; “Trading affected” the next; “Customer-visible” and “Staff inconvenience” the middle; the two lowest options the bottom.

  5. 5

    Add at least two photos

The rule is on screen: “Minimum 2, up to 5. Clear shots help the supplier quote faster.” Use “Browse” to pick from your device or “Take Photo” to open the rear camera. On a computer you can drag pictures onto the dotted box.

Tap a thumbnail to see it full-screen, or the X on its corner to remove it. With fewer than two, Next shows “Add at least 2 photos of the issue (up to 5).”

  6. 6

    Choose contractors (homeowners)

You pick up to three Motiv-verified contractors to quote. They are filtered to your trade and shown nearest first, with a distance next to each.

If you have not saved an address that could be placed on a map, distances show as unknown and you are prompted to add one.

  7. 7

    Review and send

The last step shows everything back to you. Press a completed circle in the progress bar to correct anything, then send. Your regional manager is notified straight away; a homeowner's chosen contractors are invited to quote.
